Introduction

We are committed to keeping your data safe because your privacy is important to us. This document tells you how, when and why we collect data from people and what we use it for. We only collect data from people for specific purposes. Once that purpose has finished, we won’t hold on to the data. Who we are

The Refugee, Asylum and Migration Policy (RAMP) project is a not-for-profit company, limited by guarantee since December 2019 (company number: 12373468). Our vision is for a world-class migration system which helps to create a successful and integrated UK and is fair to all. We help political leaders to think more deeply and to collaborate more widely on migration, asylum and integration issues to improve the quality and quantity of political debate and subsequent policy outcomes. We do this primarily by seconding high-quality advisers into the teams of a cross-party group of politicians and by acting as the secretariat for the APPG for Migration.

When and how do we collect information from you?

This policy covers information about or linked to a natural person (personal information).  We may obtain information like your name, email address, phone number, IP address, or mobile device’s unique identifier when you use our website, when you directly give us any information online, for example, if you book a place on one of our events, or if you contact us by email. We may also collect publicly available data (for example, from Companies House, Hansard or from articles or blogs) and information that you make available online (for example, on Twitter or LinkedIn). You can check these organisations’ privacy policies to make sure you’re happy with how they handle your data. 

Like most other websites, the RAMP website uses cookies. ‘Cookies’ are small pieces of information sent by an organisation to your computer and stored on your hard drive to allow that website to recognise you when you visit. They collect statistical data about your browsing actions and patterns and do not identify you as an individual. This information helps us to improve our website. It is possible to switch off cookies by setting your browser preferences. Turning cookies off may result in some of our website features not functioning. Why we collect this data

Some of the data we gather and use is by consent, for example if you sign up to receive information about a specific event or for forthcoming events, briefings or reports. We will keep this information until the point we no longer need it or you withdraw that consent. You can withdraw consent at any time by emailing info@rampproject.org.

If you are a supplier or contractor, we will retain information about you that pertains to the contract that exists between us as per the contractual obligation. We will delete that information six years after that contract has come to an end. 

We may also process your personal information for legitimate business purposes which are in our interests but which we believe also benefit people who we identify as potential supporters of or beneficiaries of RAMP’s work. Those carefully considered and specific purposes might, for example, include the following:

  • gathering publicly available information so that we can invite potential speakers and participants in a business / professional capacity to our meetings or events.

  • engaging with particular individuals holding relevant policy-making positions, hand-picked experts, corporate professional individuals, journalists and those working in other relevant sectors in a business / professional capacity.

  • to keep a record of your relationship with us, for example, events you have attended or questions you have asked

When you apply for a job, you send us personal information through your CV or by completing an application form. We will store and use this to:

  • recruit for the role

  • do reference checks, qualifications checks, criminal referencing, service checks and verify your information

  • inform you about other employment or volunteering opportunities if you have requested we do so

We keep our retention periods for personal information gathered for legitimate business purpose under review and will only hold your personal information on our systems for as long as is necessary for the relevant activity

How will you keep my information secure?

We are committed to ensuring that your personal information is secure. We have put security measures in place to attempt to protect against the loss, misuse, and alteration of personal information under our control. The only people who can access personal data are those RAMP staff members, contractors or volunteers who can’t do their jobs without it.  However, please remember, that data transmitted over the internet can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems.

Will you share this information with anyone else?

We don’t share or swap your information with any other organisations for them to send you marketing because your privacy is important to us.  When we use third-party service providers, we disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your information secure and not to use it for their own direct marketing purposes. We will not release your information to third parties unless you have requested us to do so, or we are required to do so by law.

Links to other websites

The RAMP website may contain links to other sites of interest. However, once you leave our site, we do not have any control over those other sites and such sites are not governed by this privacy policy. We encourage you to read the privacy statements on the other websites you visit. We cannot be responsible for the privacy policies and practices of other sites even if you access them using links from our website.

Your rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.

  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

  • Your right to object to processing - You have the right to object to the processing of your personal information in certain circumstances.

  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
